1. Information handled by the service

Family setup, processed in your browser

You may enter a household display name, children’s display names, grades, schools, optional teacher names, email provider, recipient addresses, delivery preferences, schedule, time zone, and alert title. The website uses these values locally to generate a preview and a personalized prompt. It does not create a saved family account, submit the form values to a KidDocket server, or connect to your inbox. It has no newsletter-upload feature.

These values remain in the current page’s memory. Reloading normally resets the form, but browser history, session restoration, autofill, extensions, and device features may preserve information. Copying places the prompt on your device’s clipboard; clipboard history or device synchronization may retain a copy. Leaving the site does not erase copies you made.

Compatibility answers and browser storage

The compatibility check asks about email service and account type, ChatGPT plan, phone type, notification settings, and desired outputs. When you continue to family setup, those answers are stored in this browser tab’s session storage so the form can reuse them. They do not include the children’s names or recipient addresses entered later. Close the tab or clear site data to remove this storage; browser session-restore features may affect how long it remains.

Technical website information

Our hosting and infrastructure providers may process IP addresses, request dates and times, requested pages and query strings, browser and device information, referring-page information, response codes, and security or error logs to deliver the site, diagnose problems, and prevent abuse. Do not place family information in a URL. KidDocket’s current application does not install advertising pixels, session-replay tools, or third-party marketing analytics, and does not set application advertising cookies. Infrastructure providers may use their own operational cookies or similar technologies.

Support and voluntary beta feedback

If you email us, we receive your sender name and email address, message, attachments, and ordinary email metadata. We use these to answer questions, troubleshoot, evaluate the beta, improve instructions, and handle privacy or security requests. Please redact children’s names, school identifiers, unrelated messages, and other private details before sending screenshots. We do not need access to your inbox or your complete family conversation.

During beta, the hosted guide may offer a one-time “setup verified” email to John at theobaldjm@gmail.com after the first unattended briefing and all selected outputs have been verified. It requires your approval and is optional. It reports the verification date and working outputs, not children’s names, school content, or attachments. Sending from your account reveals its normal sender name and address. Declining does not prevent use. This is not a subscription to marketing emails or permission to copy us on nightly briefings.

The current free beta does not collect card details or charge a fee. Payment processing and any new data collection will be explained before they are introduced.

2. Children and school information

KidDocket is intended for parents, legal guardians, and other adults age 18 or older who are authorized to manage the family information they provide. It is not a child-facing service, student account, classroom platform, or service for children to submit information directly. Do not ask a child to complete setup or connect an account. We do not knowingly solicit personal information directly from children under 13. If you believe a child has provided information directly to us, contact us so we can investigate, stop inappropriate processing, and delete information within our control as required.

Use a first name or nickname instead of a child’s full legal name. Only include school and teacher details needed to distinguish relevant notices. Do not include birth dates, student identification numbers, passwords, home addresses, precise location, financial records, medical records, disability or special-education documents, custody documents, or other sensitive records in setup or support messages. This beta is intended for ordinary assignments, dates, supplies, forms, and school events.

For paper newsletters, crop or redact other children’s information, photographs, contact lists, signatures, access codes, and irrelevant private content before uploading the needed pages to your own ChatGPT conversation. The website does not receive those uploads. You must have authority to share the information and connect the accounts you use, including permission for any additional recipients. Do not bypass school or employer restrictions.

KidDocket is a family organization tool, not your school or an official student-record system. We do not claim that this beta is a school-authorized vendor, a FERPA school official, or certified as compliant with any children’s or educational privacy regime. A school or district should not use this beta for institutional student-data processing without a separate review and appropriate arrangements. Nothing in this policy replaces rights or duties under applicable law.

3. ChatGPT, hosting, and other recipients

The website and generic instruction page are hosted through OpenAI Sites with Cloudflare infrastructure. These providers process technical information needed to serve and secure requests. The generic instruction page contains operating guidance, not your family profile. Its unlisted address is not a place to store private records.

Pasting your setup prompt into ChatGPT sends its contents to OpenAI. School emails, attachments, linked pages, newsletter photos, generated briefings, and task instructions may then be processed by ChatGPT and the services you authorize. Depending on your choices, these can include Google/Gmail/Google Calendar, Microsoft/Outlook, Mailopoly/Yahoo, Skylight, and device notification services. Permissions may cover more messages than the school notices you intend to summarize: read each service’s authorization screen. KidDocket does not receive your account password or connection token through this website.

Those services govern their own storage, processing locations, retention, model-improvement settings, security, and account controls. KidDocket cannot promise that third parties never retain data or use it for model improvement. Review their current policies and your account settings before sharing family information. Briefings may be sent to the email recipients you approve and displayed in shared calendars, on Skylight devices, or in lock-screen notifications. Anyone with access to those accounts or devices may see them. Check addresses carefully, use private calendars, limit calendar sharing, and adjust notification previews. Revoking a connection or stopping a task does not recall messages already delivered.

We use service providers for website operation and email support. We may disclose information within our control when reasonably necessary to comply with applicable law or valid legal process, protect people or the service, investigate security or fraud, or work with professional advisers subject to appropriate confidentiality. We may also disclose information at your direction. We do not sell personal information, rent family lists, or use personal information for targeted advertising. We do not use family data to train our own AI models. These statements describe KidDocket’s practices, not a guarantee about independent services.

4. Retention and security

The website does not maintain a server-side family profile to retain or delete. Local form values, tab storage, and clipboard copies behave as described above. Support correspondence and voluntary beta reports are kept only as reasonably needed to respond, evaluate the beta, address follow-up issues, and meet legitimate legal or security needs; you may request earlier deletion. We review these records when the beta ends and delete or de-identify information no longer needed. Limited records may be retained where needed to comply with law or resolve a dispute. Provider logs, backups, and independently held copies follow the relevant provider’s retention practices; we do not promise an immediate purge from every backup.

The live site uses HTTPS. We reduce exposure by keeping family-form processing in the browser and not asking for account credentials. No internet service or device can be guaranteed completely secure. Use trusted devices, protect your connected accounts, and avoid sharing public conversation links or screenshots containing family information. Report suspected security problems to the contact below without including passwords or sensitive school records.

KidDocket is operated for a U.S. beta. Hosting, email, and connected-service providers may process information in the United States and other countries. We do not promise storage in a particular jurisdiction.

5. Your choices and privacy requests

• Try the fictional example, use nicknames, omit optional teacher names, and share only what is necessary.
• Review and edit the generated prompt before pasting it into ChatGPT. You can stop before copying, connecting accounts, or creating a schedule.
• Decline the beta-success email, avoid sending private support attachments, and ask us to delete correspondence you previously sent.
• Clear this site’s browser data and your clipboard history where supported. Remove any downloaded or copied prompts separately.
• Pause or delete scheduled tasks in ChatGPT. Review and separately remove related conversations, files, saved memories, task instructions, connected-app permissions, calendar events, and delivered emails as appropriate. These may have separate controls.

To request access, correction, or deletion of information KidDocket holds about you, email john@kiddocket.com with “KidDocket privacy request.” Describe the request and the address you used to contact us. Do not send a child’s identification document. We may reasonably verify your identity and authority before releasing or changing information, and will explain if we need more information or cannot fulfill a request.

Depending on where you live and whether the relevant law applies, you may have additional rights to obtain a portable copy, object to or restrict processing, withdraw consent, appeal a decision, or complain to a regulator. You may contact us to exercise applicable rights or request reconsideration of a response. We respond within applicable legal deadlines and do not penalize you for exercising protected privacy rights. We cannot directly erase information in your ChatGPT, email, calendar, or another provider’s account; use that provider’s controls or contact it directly. Where information is held by a provider on our behalf, we will address applicable requests within our authority.

6. Changes and contact

We will update this page and its date when practices change. Material changes will be called out on the website and, where appropriate or required, communicated directly before they take effect. We will obtain consent where legally required rather than treating a policy update as blanket permission for a new use of sensitive information.
